Managing offices, a commercial space or a non-profit’s premises in Laval and looking for a cleaning company? Before comparing quotes, it helps to know how a good contract is put together: which zones, how often, who holds the keys and how quality is checked. Here is the approach we follow, illustrated by a real contract we carry out for a client in Montréal.
The case: a Montréal community organization
This client is a community organization in Montréal. Its premises include offices, a main entrance, a kitchen and staff room, a washroom, storage and distribution areas, and fridges and freezers.
First, a one-day deep clean. Before regular maintenance began, we deep-cleaned the premises in late August 2026 with two people for about four hours. The scope covered six zones: the entrance and community areas with their windows, the offices, the distribution area, refrigeration and freezers, the kitchen and laundry room, and the washrooms and storage.
Then, weekly cleaning every Sunday. Since then, one cleaner visits every Sunday for about two to four hours, depending on the week. The weekly scope is written into the work order: distribution area, fridges and freezers, kitchen and staff room, storage area, washroom, waste and recycling, offices and main entrance. Seven weekly visits were completed between late August and early October 2026, and the contract continues.
What this case shows: a contract can start with a one-time deep clean, followed by weekly maintenance whose scope is written zone by zone into the work order.

Step 1: List the zones
A good contract is written zone by zone, not “by the hour.” For each zone, note what happens every visit and what happens less often:
- Entrance and reception: door glass, counter, touch points (handles, switches, railings), floor.
- Offices: clear work surfaces, wastebaskets, vacuuming and washing of floors. Papers and equipment stay where they are.
- Meeting rooms: table, chairs, floor.
- Kitchen or staff room: counters, sink, appliance and cabinet exteriors, tables, floor.
- Washrooms: toilets, sinks and faucets cleaned, mirrors, floor, dispensers refilled with your supplies.
- Hallways and stairs: floors, railings and handrails.
- Waste and recycling: emptying, bag replacement, drop-off at the collection point.
- Specialty areas: storage, refrigeration, locker rooms… keep only what applies to your space.
Step 2: Choose the frequency
Frequency depends on foot traffic, how many people are on site and the type of space. In our real case, the client chose one visit a week, after an initial deep clean. A high-traffic space may need several visits a week. Background tasks (blinds, baseboards, light fixtures) are scheduled separately, for example monthly.
Step 3: Sort out access, keys and the alarm
If cleaning happens outside your hours, prepare:
- who hands over keys or access cards, and to whom;
- the alarm code and what to do if it goes off;
- rooms that stay closed and where supplies can be stored;
- a contact person for anything unexpected (breakage, water leak, door not locking).
Step 4: Agree on who supplies what
Toilet paper, soap, paper towels, garbage bags: tell us whether you supply them. Also flag surfaces that need a specific product, or areas where a fragrance-free product is better, such as near food.
Step 5: Check quality
A cleaning contract is only worth something if quality is followed up. At Claritas, there is a follow-up after every visit. In our real case, the work order also calls for before and after photos. On your side, name someone who can quickly flag anything that needs fixing.
What to have ready for a quote
- The type of space and a rough idea of its size.
- The list of zones (see Step 1).
- Your preferred frequency and possible days or times.
- Access constraints (keys, alarm, parking).
- A few photos, or a date for a site visit.
We assess your needs by phone, from photos or during a visit, then send you a tailored quote within 24 hours.
